A robot at your event: when it makes sense and when not

A robot at an event can be the strongest draw of the whole occasion, or a needlessly expensive backdrop. The difference is not the machine itself but whether it fits the goal of the event. In this article we take a sober look at when it makes sense and when you are better off keeping your money.

What it is actually about

Hiring a humanoid robot for an event means we bring a machine to your occasion that walks on two legs, gestures, poses for photos with guests and communicates with the crowd. In most cases it is accompanied by an operator who oversees smooth running and safety. The aim is not to replace staff but to create an experience people did not expect.

The robot works as a magnet for attention. Visitors stop at it, film videos and share them, which creates organic reach for the brand. That is exactly why it is important to know when this effect genuinely advances your goals and when it is just a pretty decoration with no return.

When a robot at an event makes sense

A robot pays off wherever you want to draw people in, stand out from the competition and produce content for social networks. At a trade fair it can turn your stand into the most visited spot in the hall. At a product launch it creates a wow moment that the media and guests photograph themselves.

It also makes sense where innovation itself is part of the brand story. Technology companies, automotive, banks or universities use it to show that they think ahead. Here the robot is not a gimmick but a logical extension of the message you want to communicate.

  • Trade fairs and conferences where you compete for visitors' attention
  • Product launches and store openings that need a wow moment
  • PR and marketing events focused on shareable content
  • Educational and recruitment events where you demonstrate innovation

When a robot does not make sense

If you expect the robot to serve guests like a waiter or to work independently all day without supervision, you will be disappointed. A humanoid is an interactive attraction, not an autonomous employee. It is not suited to tasks that call for reliable performance and precision.

It also loses its point at events where it would only be a distraction. An intimate dinner, a memorial event or a formal negotiation are not environments for a robot. And if you have no plan for turning the experience into content or customer contacts, you risk paying for an attraction with no measurable benefit.

What it costs

The price depends on the format. An event with an operator depends on the robot model, the type of event and the number of days, and the daily rate drops for longer deployments. A simpler programme without branding and demanding staging keeps the price lower.

A refundable deposit is added to the rental, the amount of which depends on the length of the rental, the intended use and the delivery location. All prices are quoted excluding VAT. We prepare a specific quote tailored to the parameters of your event.

Limits and what to watch out for

Let us be honest. The robot needs a flat and sufficiently spacious surface, coordination with the crowd and a solution for power, since the battery lasts a few hours of active operation. For a full-day event we therefore plan a battery swap or charging windows.

In addition, a large part of the impressive demonstrations runs on teleoperation, meaning the robot is partly controlled by the operator. That is not a shortcoming but the reality of 2026. Anyone promising you a fully autonomous robot that handles any situation is embellishing. We prefer to set expectations correctly so the result is better than the promise.

What your company should take from this

A robot at an event makes sense when you have a clear goal, a suitable environment and a plan for turning the experience into attention, content or contacts. Then it is among the strongest tools on the experiential marketing market. Without a goal it is just an expensive decoration.
