Many clients hesitate because they have no idea how hiring a humanoid robot actually works in practice. In reality it is a straightforward process. In this guide we go through it step by step, from the first enquiry to the moment the robot is standing at your event.

In short: what it all looks like

The rental runs in a few clear steps. First you send us an enquiry with the parameters of your event, we recommend a model and prepare a quote. Once approved, the booking follows with a deposit, then delivery and set-up on site, and finally the operation itself at the event. Afterwards we collect the robot and return the deposit.

Step 1: Enquiry and choosing a model

It all starts with a short enquiry to info@robotrental.sk. Tell us the date, venue, type of event, number of days and what you expect from the robot. Based on that we recommend a suitable model from our fleet. Step 2: Price, quote and booking

Based on your enquiry we prepare a tailored quote. The price of an event depends on the robot model, the type of event and the number of days, and the daily rate drops for longer deployments. The operator is always part of the hire, and the final amount is further affected by the scope of the programme, branding and the location. We prepare a specific calculation on request at info@robotrental.sk.

Once the quote is approved, we book the date. Part of the booking is a refundable deposit, the amount of which depends on the length of the rental, the intended use and the delivery location. The deposit serves as a guarantee and is refunded once the robot is returned without problems.

Step 3: Delivery and set-up on site

We deliver the robot to the agreed place and time. Before the event starts we check the space, the floor surface and the power supply. A humanoid needs a flat and sufficiently spacious area so that it can move safely among people. The operator prepares the interaction scenario according to what you have agreed.

For a full-day event we also plan battery swaps or charging windows, since the battery lasts a few hours of active operation. That way the robot runs smoothly for the whole duration of the event without unexpected downtime.

Step 4: Operation during the event

During the event the robot welcomes guests, accompanies them, poses for photos and delivers messages about your brand. The operator keeps an eye on the flow and safety of the interaction throughout. Let us be honest, a large part of the impressive demonstrations runs on teleoperation, meaning the robot is partly controlled by the operator. That is the reality of 2026, not a shortcoming.

It is precisely the operator's supervision that guarantees the interaction always looks good and the crowd stays safe. Fully autonomous handling of unexpected situations or recovery after a stumble are still not reliably solved, which is why human oversight is essential at an event with a crowd.

Limits and what to watch out for

Keep three things in mind when planning. First, the space and floor must be suitable, ideally a flat and firm surface. Second, allow for battery life and the need to recharge at longer events. Third, set realistic expectations: the robot is an experiential attraction, not an autonomous worker.

The timing of your enquiry matters too. Dates fill up quickly in season, so we recommend booking well in advance. The sooner we know the parameters of your event, the better we can match the model, the operator and the logistics.

How far in advance should I book the robot?

We recommend booking as early as possible, because dates fill up quickly, especially in season. The sooner we know the parameters of your event, the better we can match the right model, the operator and the whole delivery logistics.

Is transport of the robot included in the price?

Delivery depends on the location and is agreed as part of the specific quote. The amount of the refundable deposit also reflects the delivery location, the length of the rental and the intended use. The specific terms are always stated in the tailored quote.

What do I need to provide on site?

Above all a flat and sufficiently spacious area, access to a power supply and coordination with the event programme. Everything else, including preparing the scenario and supervision, is handled by our operator directly on site.
