A corporate event has one problem: most people have already seen everything. The band, the host, the photo booth and the raffle. A humanoid robot is currently one of the few things that make guests pull out their phones without being asked. Here are twelve scenarios that genuinely work at events, with the time they take and what needs to be prepared.
Why a robot works at a corporate event
Not because it is technology. Because it is a moment that cannot be downloaded from the internet. A 130-centimetre humanoid that walks in among the guests, shakes hands and dances provokes a reaction no presentation can match. And that reaction turns into content immediately: stories, reels, photos in group chats. The brand spreads without you paying for it.
What matters is that the robot has a role. A robot that just stands in a corner becomes invisible after ten minutes. A robot with a scenario is the highlight of the evening. The following ideas are ordered by where in the programme they fit.
Guest arrival and registration
1. The robot welcomes guests at the entrance
The simplest and safest scenario. The robot stands at the entrance, waves, shakes hands and welcomes guests in the name of the company or with a short line. The first impression of the event is made before the guest has even hung up their coat. Duration: the whole registration, typically 30 to 60 minutes.
2. Selfie zone with the robot
The robot poses with guests in front of a branded wall. The operator controls the gestures, so every photo is different: a handshake, a thumbs up, a dance pose. Add the event hashtag and you have a source of content for the whole week. Works best during the welcome drink.
3. The robot hands out name badges or gifts
The robot hands the guest a name badge, a small gift or a card with the programme. It is a small moment, but those are exactly the ones people remember. Suitable for events of up to two hundred people, at larger ones a queue forms.
Main programme
4. The robot opens the evening
The robot walks onto the stage, welcomes the guests and hands over to the host or the managing director. Thirty seconds that set the tone for the whole evening. You supply the text, we record it or play it through the operator.
5. Presenting awards
Awards for employees, partners or salesperson of the year are presented by the robot. It comes on stage, hands over the award, shakes hands, takes a photo. Every winner saves and shares the photo. Ideal for five to fifteen awards, with more we recommend the robot only for the main categories.
6. A dance with the managing director
The robot invites the CEO or the guest of honour to dance. A short choreography to a well-known song, thirty to sixty seconds. It is the most shared moment we have seen at corporate events. We recommend rehearsing in advance so that it is funny rather than awkward.
7. Launching a product or a new release
The robot brings out the new product, unveils it or hands it to a customer. The new release gets attention it would otherwise have to buy. Suits annual dealer conferences and internal launches.
Free entertainment and networking
8. The robot as a quiz partner
The robot asks questions, counts points or announces the winners. A team quiz with the robot as host is fun even for people who otherwise do not rush into competitions.
9. A walk between the tables
During dinner the robot walks between the tables, stops, says hello, waves. No stage, no programme. It is precisely the casual encounter with the robot that guests talk about over coffee.
10. Robot and robot dog together
If the event is larger or outdoors, complement the humanoid with a robot dog. The dog runs, jumps and does tricks at ground level, the humanoid does them at eye level. Two robots hold attention twice as long.
Finale and afterglow
11. Farewell at the exit
The robot stands at the exit, says goodbye and waves. The last impression is just as important as the first. Guests leave with a smile and one last photo.
12. Content after the event
Arrange filming during the event. A short video of the robot with guests is ideal content for the company's LinkedIn as well as the internal newsletter. One evening, content for a month.
What needs to be prepared
- A programme with the times when the robot is to appear. The robot needs an operator and charged batteries, which we swap between appearances.
- A flat floor and a space of about three by three metres for the choreography. Carpet is fine, stairs to the stage are sorted out in advance.
- The texts the robot is to say and the music for the dance. You deliver them a day ahead, we prepare everything.
- A charging spot with a standard socket. The robot needs nothing more.
- A contact person on site who knows when things happen. The rest is on us.
What it costs
Robot hire starts from 1 000 € per day with an operator for a multi-day rental, excluding VAT. A one-day corporate event, the scenario and transport are priced according to scope, and we send an exact quote within 24 hours. A refundable deposit applies to the hire. Most corporate events fit within the budget companies normally spend on a band or a DJ, with the difference that guests film the robot.
